How do I attach a file to an outgoing email?

The process for attaching files to an outgoing email has changed. If you are working with individual activities and not a large print job, you are now able to upload files to the individual records you are working with rather than to the general "Attachments" queue.
NOTE: The previously used attachments queue is now only available if you are attaching a file to a print job.

If you are attaching files to an outgoing casework activity or correspondence activity, follow the procedures below:

Casework Activity

  1. Navigate to the case for which you would like to send an email with attachments.
  2. Click on the Case ID to open the "Case Detail" screen.
  3. Add the file you'd like to send out with your email as a regular case attachment by clicking the Add link in the "Attachments" Panel. A gray Browse button will appear. Click on it to browse out to your files and select the file you'd like to upload. Click the Open button. The file will now appear as one of the attachments to the case. Repeat this process until all attachments have been added. 

  4. Once the attachment has been added to the case, it will be available for any activities you create within the case. Click the Create Activity link that appears below the desired contact. Complete the activity as you normally would by selecting a letter, making the necessary edits, and checking it in.
  5. Click the down arrow next to the Send button and select Send Email with Attachments.
  6. Click in the Casework Attachments  field to see your available attachments. Select your file name(s) from the list. (Notice that you can also select from activity attachments if you'd prefer just to attach a file to the activity rather than attaching it to the case.)
  7. Select Send.

General Correspondence

  1. Navigate to the activity you would like to send with attachments.
  2. If you are working in the Mail module and viewing the activity information on the reading panel, you can add an attachment under the "Attachments" section by clicking Upload and browsing out to your file.
  3. You can also add an attachment from within the activity details screen. Click on the Activity ID to open the "Edit Activity" screen.
  4. Assign any relevant values to the activity (including the appropriate letter code).
  5. Click the Upload link at the bottom of the activity to upload any files you'd like to send out as attachments.
    NOTE: You can also drag and drop attachments right onto the "Activity Details" screen to upload them.
  6. A gray Browse button will appear. Click on it to browse out to your files and select the file you'd like to upload. Click the Open button. The file will now appear as one of the attachments to the activity. Repeat this process until all attachments have been added.
  7. Click the down arrow next to the Send button and select Send Email with Attachments.
  8. Click in the Activity Attachments  field to see your available attachments. Select your file name(s) from the list.
  9. Select Send.
